Helpful Tips for a Successful Online Alumni Week

Welcome and thank you for joining us for Alumni Week 2022! We want to provide you with a few tips to help you with technical aspects of joining the various events during the week’s virtual programming.

Prerecorded Events

Prerecorded events will be posted on the day of the event. Emails will be sent daily with links to prerecorded content for you to access anytime during the day the events occur.

Live Events

Webinars

Some of the week's content takes place in a Webinar Format. Emails will be sent daily with links to the live content so that you may log in at the scheduled times.

You will only be able to watch and listen. However, you can submit questions via the Q&A panel option.

Interactive

Two events will take place in an Interactive Format: Seminars, and Toasts and Tributes. Emails will be sent daily with links to this type of live content so that you may log in at the scheduled times. These events will be live and you can interact with your tutor and classmates.

Before Seminar

  1. You will need a computer, tablet, or smartphone with speaker or headphones. You will have the opportunity to check your audio immediately upon joining a seminar session.
  2. You may need to download the Zoom application if you have not done so previously. It is a free application you can download from the Zoom website.
  3. You will receive an email invitation notice for the seminar from the Alumni Relations Office.
  4. The notification will include a link to “Join via computer” as well as phone numbers for a conference call option. It will also include the Meeting ID number.

To Join the Online Seminar

  1. About 10 minutes prior to the start time of your seminar, click on the link in your invitation to join via computer. You may be instructed to download the Zoom application if you haven’t already done so.

    You may also join a meeting without clicking on the invitation link by going to zoom.us/join on any browser and entering the Meeting ID and password provided.

  2. You have an opportunity to test your audio at this point by clicking on “Test Computer Audio.” Once you are satisfied that your audio works, click on “Join audio by computer.”

    If you are having trouble hearing the meeting, remain on the video conference and dial the teleconferencing number provided in your invitation on your phone.

  3. Enter the Meeting ID number (also provided in your invitation) when prompted using your touch-tone (DTMF) keypad.

Participant Controls in the Lower Left Corner of the Zoom Screen

Using the icons in the lower left corner of the Zoom screen, you can:

  • Mute/unmute your microphone (far left)
  • Turn on/off camera (“Start/Stop Video”)
  • Invite other participants (you will not be able to do this)
  • View Participant List – opens a pop-out screen that includes a “Raise Hand”
  • Icon that you may use to raise a virtual hand
  • Share your screen (may not be available)
  • Chat allows you to type in comments, ask questions, and respond to other chats
  • Record Meeting and Breakout Rooms (may or may not be enabled)
  • End Meeting – click to end your session

On your Zoom screen you will also see a choice to toggle between “speaker” and “gallery” view.

“Speaker view” shows the active speaker. “Gallery view” provides tiles of all of the meeting participants. This is typically found in the top-right corner of the screen.

Tips and Zoom Etiquette

  • If you can, it is a good idea to have a small light facing you so your image is clear for others to see.
  • Keep your microphone muted until you plan to speak. The microphone will pick up sounds around you and could be distracting to the others (e.g., barking dogs, phones ringing, etc.).
  • Please remain in the meeting for the duration of the seminar. If you need to leave, simply turn off your video and sound, and return when you are able.
